Terms of Service
These terms govern access to Faith Care HQ by churches, ministry organizations, account administrators, staff users, and other authorized users.

1. Agreement and authority
By accessing or using Faith Care HQ, you agree to these Terms of Service and the Privacy Policy. If you use the service for a church or other organization, you represent that you have authority to accept these terms for that organization.
You must be legally able to enter a binding agreement. The service is intended for organizational use by authorized adults and is not offered for children to create independent accounts.
2. Accounts and organization administration
You must provide accurate account information, maintain the security of credentials, and promptly update access when roles or employment change. The organization controls which users may access its workspace and is responsible for their activity.
Account owners and administrators may configure permissions, integrations, subscriptions, and ministry workflows. Faith Care HQ may rely on instructions from authorized administrators.
3. The service and pastoral-care responsibilities
Faith Care HQ provides tools for coordinating prayer requests, care requests, cases, visits, notes, tasks, volunteers, reports, integrations, and related ministry workflows. Features may change as the service develops.
The service does not provide medical, mental-health, legal, emergency, or professional pastoral advice. Organizations remain responsible for care decisions, safeguarding, mandatory reporting, consent, recordkeeping, and compliance with laws and denominational or organizational policies.
4. Customer data and privacy
As between the parties, the organization retains its rights in information submitted to its workspace. The organization grants Faith Care HQ permission to host, process, transmit, back up, and display that information as needed to provide, secure, and support the service.
The organization is responsible for having a lawful basis to collect and use ministry information, especially sensitive records and information about minors, and for responding to individuals whose information it controls. Our handling of information is further described in the Privacy Policy.
5. Acceptable use
- Do not use the service unlawfully, deceptively, abusively, or in a way that violates another person's privacy, confidentiality, intellectual property, or other rights.
- Do not enter information you are not authorized to collect or share, use the service for emergency dispatch or clinical health records, or expose sensitive records to people without a ministry need.
- Do not probe, disrupt, overload, reverse engineer, bypass access controls, introduce malicious code, scrape the service, or access another organization's workspace.
- Do not use outputs, including AI-assisted outputs, without appropriate human review or as the sole basis for high-impact care, safety, employment, or eligibility decisions.
6. AI features and third-party services
Optional AI features may generate summaries, recommendations, briefings, or drafts from information selected by an authorized user. AI output can be incomplete, inaccurate, or inappropriate. Users must review output and remain responsible for every decision and communication.
Integrations and third-party services, including OpenAI, Planning Center, analytics, monitoring, email, and payment providers, may be governed by separate terms. Faith Care HQ is not responsible for third-party services outside its control.
7. Subscriptions, billing, and trials
Paid plans, feature limits, staff limits, AI allowances, billing periods, and trial terms are shown in the service or an applicable order. Unless an order states otherwise, fees are charged in advance, are non-refundable except where law requires, and may change with advance notice.
You authorize applicable payment providers to charge the selected payment method. We may restrict paid features, place an account in read-only mode, or suspend service for nonpayment, expiration, misuse, or material breach. Custom plans may include additional written terms.
8. Ownership and feedback
Faith Care HQ and its licensors own the service, software, design, documentation, and related intellectual property, excluding customer data. Subject to these terms and payment obligations, we grant authorized users a limited, non-exclusive, non-transferable right to use the service for the subscribing organization's internal ministry operations.
If you provide feedback, you allow us to use it without restriction or compensation, provided we do not identify confidential ministry information as part of that use.
9. Suspension, termination, and data handling
An organization may stop using the service subject to its subscription commitments. We may suspend or terminate access when reasonably necessary to protect the service or others, comply with law, address nonpayment, or respond to a material breach.
After termination, access may end and customer data may be deleted according to our retention practices. Organizations should export information they are required to retain before closure. Provisions that by their nature should survive will remain effective.
10. Disclaimers and limitation of liability
To the maximum extent permitted by law, the service is provided "as is" and "as available." Faith Care HQ disclaims implied warranties, including merchantability, fitness for a particular purpose, non-infringement, and any warranty that the service will be uninterrupted, error-free, or suitable for every pastoral-care or compliance need.
To the maximum extent permitted by law, Faith Care HQ will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, loss of data, ministry disruption, or lost revenue. Any aggregate liability will be limited to fees paid for the service during the twelve months before the event giving rise to the claim. Some jurisdictions do not allow all limitations, so applicable law may provide additional rights.
11. Indemnification
To the extent permitted by law, the organization will defend and indemnify Faith Care HQ from third-party claims arising from customer data, the organization's ministry practices, unlawful or unauthorized use, or violation of these terms, except to the extent caused by Faith Care HQ's own breach or misconduct.
12. Governing law, disputes, and general terms
Governing law and venue have not yet been selected. This clause must be completed by qualified counsel before these terms are treated as final. Nothing in this draft creates a chosen jurisdiction or venue.
These terms, the Privacy Policy, applicable orders, and any signed addenda form the agreement for the service. If one provision is unenforceable, the remaining provisions continue. A failure to enforce a term is not a waiver. You may not assign the agreement without consent, except in connection with an organizational merger or transfer; Faith Care HQ may assign it as part of a business transfer.
We may update these terms as the service or law changes. Material updates will be posted with a revised date and additional notice when appropriate. Continued use after an update takes effect constitutes acceptance to the extent permitted by law.
